MeetAna for Zoom
Adding MeetAna to your Zoom account, scheduling consultations, the meeting notetaker, and removing the app.
1. What the Zoom app does
MeetAna for Zoom lets a photography studio schedule client consultations with a real Zoom join link, keep those meetings in sync when plans change, and — only if the studio turns it on — send a visible notetaker to the studio's own consultations so a written summary lands on the right client afterwards.
- Read your Zoom profile so we can link the right Zoom account to your studio and show which account is connected.
- Create, update, and delete the Zoom meetings that MeetAna itself scheduled for your consultations. MeetAna never touches meetings it did not create.
- Read your upcoming meetings so notes can be matched to the right client conversation.
- With the notetaker turned on: obtain a recording join token so the notetaker can record the consultation without prompting the host every time.
2. Before you start
- A Zoom account you are allowed to connect to third-party apps (check with your Zoom admin if you are on a managed account).
- A MeetAna workspace where you are an administrator.
- During the beta, MeetAna must enable your Zoom account first — email info@meetana.com with the email address of your Zoom account and we will switch it on.
3. Adding the app
If Zoom shows an error such as “invalid redirect” or “app not authorized for this account”, your account is not yet enabled for the beta or your Zoom admin has restricted third-party apps. Email info@meetana.com and we will sort it out with you.
- In MeetAna, open Settings → Integrations and choose Connect Zoom.
- Zoom shows its consent screen listing the permissions above. Sign in to the Zoom account you want to connect and choose Allow.
- You are returned to MeetAna and the Zoom card shows the connected account. That is it — no separate installation is needed inside Zoom.
4. Using the app
Consultations with a Zoom link
When you book a client consultation on the MeetAna calendar and choose Zoom as the location, MeetAna creates the meeting on your Zoom account and puts the join link in the invitation. Rescheduling or renaming the consultation in MeetAna updates the Zoom meeting; cancelling it removes the Zoom meeting MeetAna created.
The meeting notetaker
The notetaker is off until you turn it on in Settings → Integrations. When it is on, it joins your consultations as a visible participant named for MeetAna, records the conversation, and produces a written summary — decisions, open questions, commitments — for you to review. Nobody else is emailed anything.
You stay in charge in the meeting itself: as the host you can remove the notetaker at any time, and turning the setting off stops it joining future consultations. Audio and video are deleted once the summary is produced; only the transcript and summary are kept, and only for your studio.
5. Removing the app
- From MeetAna: Settings → Integrations → Disconnect Zoom. MeetAna revokes its access with Zoom, deletes the stored credential, and stops all Zoom activity for your studio immediately.
- From Zoom: in the Zoom App Marketplace, open Manage → Added Apps, find MeetAna, and choose Remove. Zoom notifies MeetAna and the same clean-up runs automatically.
- Meetings that MeetAna created stay on your Zoom calendar unless you cancel them in MeetAna first. Transcripts and summaries stay in your MeetAna workspace until you delete them, the project, or your account.
6. Troubleshooting
- The join link is missing from an invitation — make sure Zoom is connected in Settings → Integrations and that the consultation's location is set to Zoom.
- The notetaker did not join — check that it is turned on, that the consultation was created in MeetAna, and that the host did not remove it. Recording must be permitted on the Zoom account.
- Zoom asks you to sign in again — the connection was disconnected or revoked; reconnect from Settings → Integrations.
- Anything else — email info@meetana.com with your studio email and what you were doing; we answer within two business days.
7. Your Zoom data
MeetAna stores the identity of the connected Zoom account, the ids of the meetings it created, and — with the notetaker on — transcripts and summaries of your own consultations. The Zoom access credential is kept encrypted, is never visible in the app, and is deleted the moment you disconnect. Audio and video are never retained.
